Opening balances

The ledger, customer, supplier and stock balances loaded into a new system at the cut-over date.

Opening balances are the figures a new ERP starts with: the trial balance at the cut-over date, open customer invoices, open supplier bills, stock quantities and values, fixed assets with accumulated depreciation, and bank balances. They are the bridge between the old system and the new.

It matters because if the opening balances are wrong, every report in the new system is wrong from day one, and the error compounds as transactions post on top. Open invoices must be loaded individually, not as a lump, so collections and VAT reporting work. For a UAE business mid-way through a VAT period, the cut-over date and VAT treatment of loaded invoices need particular care.

In an ERP project, agree the cut-over date to coincide with a month end, ideally a quarter end, reconcile the legacy system fully to that date, and load balances in a controlled sequence. Prove the new trial balance matches the old one to the dirham before anyone posts a live transaction. Keep a signed-off snapshot for the auditors.
