ERP for equipment rental and fleet companies in the UAE

Rental businesses live or die on utilisation and on billing every day an asset is out. Kaido implements systems that track each machine from hire contract to return, maintenance and recharge, with billing generated from the contract rather than from memory.

What equipment rental and fleet businesses bring to us

Asset utilisation unknown

Nobody can say which machines are on hire, idle in the yard or in the workshop today, so purchasing and pricing decisions are made blind.

Hire contracts billed by hand

Daily, weekly and monthly rates, extensions, standby days and early returns are calculated in spreadsheets, so invoices go out late and wrong.

Maintenance and breakdowns

Service schedules, hour meters and breakdowns are tracked separately from hire, so machines fail on site and downtime is never charged or credited correctly.

Operators, fuel and damage

Operator wages, fuel, transport and damage on return are not linked to the contract, so the true margin per hire is unknown.

What a working system looks like in equipment rental and fleet

Every asset is a record with its serial number, purchase cost, depreciation, hour meter, location and status: available, on hire, in transit, in the workshop. The yard board is a live screen, not a whiteboard.

A hire contract specifies the equipment, rate basis, start date, operator and delivery details. Delivery and return are confirmed on mobile with photos, meter readings and signatures. Billing runs from the contract on the agreed cycle, with extensions, standby days, early returns and minimum charges applied by rule. Damage found at return raises a recharge with the photo evidence attached.

Maintenance is scheduled by hours or calendar, and a machine due for service is blocked from hire or flagged for a swap. Breakdowns on site create a field service job with the engineer's time and parts costed to the asset. Fuel, transport and operator costs are posted to the contract, so margin per hire and return on each asset are reported without a spreadsheet.

UAE compliance for equipment rental and fleet

Hire charges carry VAT at 5%, including standby, delivery, operator and damage recharges. Deposits are outside VAT until applied. Cross-border hire into other GCC countries needs its own treatment, and the system should hold it per contract so the return reconciles.

Corporate tax at 9% on profit above AED 375,000 makes the fixed asset register the centre of the tax position: depreciation methods, disposals, impairments and the split between owned and leased assets must be consistent and documented.

E-invoicing starts 1 January 2027 for businesses with revenue of AED 50 million or more and 1 July 2027 for others. Periodic hire invoices must be issued in PINT AE format through an Accredited Service Provider on the Peppol five-corner model, which favours billing generated by the system rather than by hand. Larger fleets needed an ASP by 30 October 2026; delay carries AED 5,000 per month.

How the project runs

Kaido fixes the price before the build. Discovery covers your fleet register, contract types and rate rules, maintenance regime, yard and transport operations, and ends with a signed scope.

Delivery runs in phases: design, configuration, asset and contract migration with a physical fleet audit, user testing on live hires and returns, go-live and hypercare. Each phase closes with a gate you approve.

The fleet audit reconciles the asset register, the yard and the ledger before go-live. After that, a support contract keeps the same consultants on your account for rate changes and the next phase.

Questions equipment rental and fleet owners ask

Can billing handle daily, weekly and monthly rates on one contract?

Yes. Each contract line carries its rate basis and the rules for extensions, partial periods, standby and minimum hire. The billing run calculates the charge for the period from the delivery and return records, so an early return or an extension changes the invoice automatically. Rate cards per customer and seasonal pricing are supported.

How is utilisation reported?

Utilisation is calculated from the asset status history: days on hire divided by days available, by machine, category and branch. Revenue per asset and maintenance cost per asset sit alongside, so return on each machine is visible. Reports show which categories are short at peak and which are overstocked, which informs purchasing and disposals.

Does maintenance link to hire availability?

Yes. Service intervals run on hour meters or dates, and the system blocks or flags a machine that is due before it is sent out. Workshop jobs record parts and labour against the asset. A breakdown on site creates a field service job, and the downtime can be credited to the customer automatically where the contract requires it.

We also sell and service equipment. Is that in scope?

Yes. Sales of new and used machines, spare parts and after-sales service contracts run in the same system, sharing the asset and customer records. Warranty claims and service visits are tracked per serial number. Companies that combine rental, sales and after-sales get one view of each customer and each machine across its life.
