The challenge
Philstia Consultants delivers consulting engagements from Amman and Dubai. Proposals were tracked in one place, project work in another and hours in spreadsheets, so invoices were assembled at month end from several sources and often went out late.
Management could not see consultant utilisation without manual work, and the two offices kept slightly different records. The firm wanted one system that followed an engagement from proposal to timesheet to invoice and gave a single view across both countries.
What we did
Kaido implemented Odoo so that a consulting engagement runs from opportunity to timesheet to invoice without re-keying.
- CRM pipeline for proposals, with won deals creating the project automatically
- Projects and tasks per engagement, with budgets in hours and fees
- Timesheets by consultant feeding utilisation reports and billable hours
- Invoicing from approved timesheets and milestones, in the right currency for each office
Utilisation visible, invoicing faster and one system for a consulting firm in Amman and Dubai.
Billable hours, projects and invoices in one system, so the firm bills the week it works.Kaido IT Solutions
Why it worked
The outcome came from the discipline every Kaido engagement runs on. Scope and price were fixed and signed at the blueprint gate. Client, project and opening balance data was migrated and reconciled before go-live. Training was by role, so consultants learned timesheets and finance learned invoicing, and the senior consultant who scoped the project delivered it.
Philstia Consultants has stayed on a Kaido support arrangement since go-live in early 2026, so configuration keeps pace with new service lines rather than drifting back to spreadsheets.
