The challenge
National Aluminium & Steel Factory, the Ajman manufacturing company of GINCO Group, invoices a broad base of trade and project customers from an ERP that has been in place for years. The system runs the plant well, but its invoice output was never designed for the structured electronic format the UAE mandate now requires.
The group did not want a system replacement to meet a compliance deadline. It needed the existing ERP to produce complete, valid invoice data, a reliable route to the Federal Tax Authority through an Accredited Service Provider, and proof through testing that the two agree with the ledger.
What we did
Kaido is making the factory's existing ERP produce mandate-compliant invoice data and transmit it through an Accredited Service Provider, without a system replacement.
- Obligation scoping for the manufacturing entity, its customer base and its invoice types
- Invoice and credit note data extracted and structured from the existing ERP to the required format
- Integration with an Accredited Service Provider for transmission and acknowledgement
- Test transmissions on real invoice batches and reconciliation against the ledger
UAE e-invoicing readiness for an Ajman aluminium manufacturer on its existing ERP.
Keep the ERP, fix the data, connect the provider, test until it reconciles.Kaido IT Solutions
Why it worked
Kaido's approach for a manufacturer on a mature ERP is to change as little as possible and verify everything. The obligation is scoped first, then the gaps between the current invoice data and the mandate schema are listed field by field and closed at source. Only when the data is complete is the Accredited Service Provider connected. Scope and price are fixed before work starts and each step carries a sign-off.
The next gate is a reconciled test batch: a set of real invoices and credit notes transmitted through the provider and matched back to the ledger with no unexplained differences. After that, the configuration is frozen for the mandate date and the finance team is trained on handling rejections and corrections.
